This Privacy Notice explains how Wise & Adroit Group (“Wise & Adroit,” “we,” “us,” “our”) collects, uses, shares and protects personal data in connection with our recruitment and talent services and your use of our websites and portals. It also describes your privacy rights.

We provide global coverage for our Services across Europe, the USA, the UK and Singapore. We do not imply or represent that we maintain staffed physical offices in those locations. We comply with applicable data protection laws, including the UK and EU General Data Protection Regulation (UK GDPR / EU GDPR), the Singapore Personal Data Protection Act 2012 (PDPA), and, where applicable, US state privacy laws such as the California Consumer Privacy Act (CCPA), as amended by the CPRA.

1. Who is the data controller?
​

The controller of your personal data is the Wise & Adroit entity with which you interact or that provides the Services to you (e.g., your prospective employer’s recruiting engagement with us) or operates the Site you are using. For EU/UK residents, our primary controller is:

Where required, we may appoint an EU representative/UK representative and will provide details upon request.

2. What personal data we collect

​

We process the following categories of personal data, depending on your interactions with us:

  • Identification and contact data (name, title, date of birth, email, phone, address, country of residence, national identifiers where lawful).

  • Professional data (CV/resume information, employment history, skills, qualifications, education, publications, language skills, compensation expectations, availability, work preferences).

  • Right-to-work and compliance data (visa/immigration status, work eligibility, background check results where permitted, references).

  • Diversity and special category data (e.g., race/ethnicity, disability, gender identity) only where lawful and provided voluntarily for equal opportunities monitoring and reporting; we will seek explicit consent where required.

  • Technical and usage data (IP address, device identifiers, browser type, cookie identifiers, pages viewed, referring URLs, interaction data, and approximate location).

  • Marketing preferences (opt-in/opt-out status, communication preferences).

  • Client stakeholder data (business contact details, role, notes of interactions, instructions).

  • Referee and emergency contact data (names, contact details and relationship) where provided to us.

 

3. How we collect data

  • Directly from you (CV submissions, interviews, forms, events, email/phone communications).

  • From publicly available sources (e.g., professional networking sites and public profiles), licensed databases and job boards.

  • From clients, referees, former employers, education/certification providers and background-check vendors where lawful.

  • Automatically via cookies and similar technologies when you use our Site (see Cookie Policy).

4. Purposes and legal bases for processing (EU/UK)
​

We process personal data for the following purposes and legal bases:

  • Recruitment and placement (assessing suitability, shortlisting, presenting candidates to clients, arranging interviews, facilitating offers and on-boarding) — legitimate interests of candidates and clients to fill roles; contract where we have an MSA or you accept an offer; legal obligations (e.g., right-to-work checks).

  • Talent pooling and future opportunities — legitimate interests; where required, consent.

  • Operating and securing the Site, analytics and service improvement — legitimate interests and, for non-essential cookies, consent.

  • Marketing communications (B2B outreach, newsletters, events) — legitimate interests; we will obtain consent where local law requires it and always offer an opt‑out.

  • Compliance and legal (record-keeping, responding to requests from authorities, enforcing our rights) — legal obligations and legitimate interests.

 

Where we rely on consent, you may withdraw it at any time (see Section 11). We will only process special category data (e.g., health, ethnicity) with your explicit consent or where permitted by law (e.g., substantial public interest for equal opportunities).

5. Purposes and legal bases for processing (Singapore)
​

Under the PDPA, we process personal data with your consent or where an exception applies (e.g., business improvement, investigations). We will obtain consent for collecting, using or disclosing personal data unless an exception applies, and you may withdraw consent upon reasonable notice.

6. Purposes and disclosures (USA)
​

For US residents, we may collect and disclose personal information as defined by applicable state privacy laws for the purposes set out above. We do not use or disclose sensitive personal information for purposes other than those permitted by law. We do not “sell” or “share” personal information for cross‑context behavioural advertising. If we ever intend to do so, we will provide required notices and the ability to opt out (see Section 11, “Your rights”).

7. Who we share data with
​
  • Clients/employers in connection with roles for which you are being considered.

  • Service providers (IT hosting, cloud, applicant tracking systems, communications, analytics, background checks, professional advisors) bound by contractual confidentiality and data protection obligations.

  • Affiliates within the Wise & Adroit Group for legitimate business purposes.

  • Authorities and regulators where required by law or to protect rights, safety or property.

  • Business transfers in connection with mergers, acquisitions or reorganisation.

 

We do not permit our service providers to use your personal data for their own marketing.

8. International data transfers
​

We operate globally. Where personal data is transferred outside the UK/EEA or Singapore, we ensure appropriate safeguards, such as:

  • Standard Contractual Clauses (and the UK International Data Transfer Addendum) or reliance on an adequacy decision;

  • Intra‑group agreements and technical/organisational measures; and

  • PDPA‑compliant transfer protections for data originating from Singapore.
    You may contact us for a copy of relevant safeguards (with redactions as necessary).

9. Retention
​

We retain personal data only as long as necessary for the purposes described in this Notice or as required by law. Typical retention periods are:

  • Candidates: up to three from last meaningful contact (e.g., job application, interview, communication), unless you request deletion sooner or consent to longer retention for talent pooling.

  • Client contacts and business records: seven years from last interaction or contract end, subject to statutory record‑keeping.
    We will securely delete or anonymise data when no longer needed.

 
10. Security

 

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure or destruction. No system is completely secure; please use caution when transmitting information online.

11. Your rights
​

Your rights depend on your location. Subject to conditions and exceptions, you may have the right to:

  • EU/UK (GDPR): access; rectification; erasure; restriction; portability; object to processing (including profiling) based on legitimate interests; and withdraw consent at any time.

  • California and certain US states: request to know/access the categories and specific pieces of personal information we collected; request deletion; request correction; opt out of sale or sharing for targeted advertising; limit use/disclosure of sensitive personal information; and not be discriminated against for exercising your rights.

  • Singapore (PDPA): access and correction; withdraw consent; request information about our policies and practices and how your personal data has been used or disclosed in the past year.

 

How to exercise your rights. Email Legal@WiseAdroit.com with your request, and indicate your jurisdiction. We may need to verify your identity and residency. Authorised agents may submit requests on your behalf where permitted by law. For California residents, you may also use a “Do Not Sell or Share My Personal Information” mechanism where offered, and we honour Global Privacy Control signals where required.

12. Automated decision‑making
​

We do not make decisions producing legal or similarly significant effects solely by automated means. We may use automated tools to assist with candidate matching and screening, combined with human review. You can request human review of decisions or object to profiling where applicable.

13. Children
​

Our Services are not directed to children and we do not knowingly collect personal data from anyone under 16 (or lower age as defined by local law). If you believe a child has provided us data, contact us to delete it.

14. Marketing choices
​

You can opt out of marketing communications at any time by following the unsubscribe link in emails or contacting us. We may still send service or transactional messages.

15. Complaints and contact
​

If you have concerns, please contact Legal@wiseadroit.com. You also have the right to lodge a complaint with a supervisory authority: the UK Information Commissioner’s Office (ICO), an EU data protection authority in your country of residence or work, or the Personal Data Protection Commission (PDPC) in Singapore.

16. Changes to this Notice
​

We may update this Notice from time to time. The “Last updated” date indicates the effective date. Material changes will be notified via the Site or by email where practicable.
